Total Presence Management is seeking an Administrative Support candidate to help support the Event Services Team of a World-Class Manufacturing Company. This candidate will be focused on supporting the team as a point of contact for employees. They will work closely with the building they support to provide exceptional high-level administrative support and customer service; work will include supporting the plant leader, teams, projects, and processes as necessary to move critical work forward within the building. They will provide an optimal experience and ensure outcomes are achieved and realized through the company culture and promise. This is a full-time role, with a full-time in-plant work arrangement.

Responsibilities:

  • Perform an extensive array of administrative tasks (manage calendars, book travel, schedule facilities and equipment, database maintenance, prepare presentations, track and file expenses, etc.).

  • Generate, proofread, and distribute correspondence to internal and external customers following established guidelines.

  • Leverage Microsoft Office and other systems as required by business.

  • Create and / or generate various reports and ensue data integrity within multiple computer systems.

  • Create and present information to groups of various sizes.

  • Coordinate multiple and varied business projects and processes (e.g., coordinate project teams, identify process plans, implement logistics, ensure relevant communication with teams, monitor progress, document output, etc.).

  • Coordinate all aspects of global virtual meetings and special events at varied sites using current tools and technology including, but not limited to, arranging travel for large groups and scheduling facilities, meals, and equipment.

  • Ensure compliance with relevant laws and policies.

  • Analyze and anticipate the needs of team(s) and their projects.

  • Proactively identify solutions to non-standard requests and participate in process improvement initiatives.

  • Collaborate and clearly communicate complex information between diverse groups of people.

  • Proactively develop a network and utilize resources effectively with new and existing teammates to enhance a cohesive strategy and team mission.

  • Serve as a liaison between various functions.

  • Answer and direct incoming calls using a multiline phone system.

  • Provide coverage for reception duties and maintain security as needed.

  • Frequently engage with numerous internal and external customers.

Qualifications:

  • Minimum of 3 years administrative support to multiple individuals, office manager, office or executive assistant with customer service or customer service management, receptionist, or professional teaching experience

  • Experience in project follow-through from conception to completion

  • Demonstrated experience with Microsoft Office Suite as well as other data management systems

  • Self-direction and motivation

  • Perform administrative duties accurately in a fast-paced environment while maintaining a high level of customer service and professionalism

  • High level of experience in general business operations

  • Strong organizational skills

  • Detail oriented

  • Excellent phone skills and business professionalism

  • Able to learn quickly and implement new tools and technologies to improve work efficiency.  Coordinate and prioritiz multiple priorities.  Develop strong working relationships.
    Desired Qualifications:

  • Bachelor's Degree

  • Accredited professional administrative certification(s)


Work location: Flagstaff, AZ (in person)

Salary range: $60,000- $70,000 per year DOE

Contract length 12-18 months
